Choosing the Right Catering Format for a Successful Event

Cocktail reception, sit-down dinner, brunch, or a potluck… Each format creates a different atmosphere at an event. Sophie will help you choose the one that’s right for your gathering.

When a client contacts us to plan an event, the first question isn’t always about the menu.

Very often, the real question is something else:
Which reception format should I choose ?

Cocktail reception, sit-down dinner, brunch, potluck… Each format tells a different story and creates a unique atmosphere. The right choice can turn an event into a truly memorable experience. The wrong one, on the other hand, can ruin the flow of the evening.

Over the years at Perche & Giraud, I’ve learned one thing: the format should always serve the event.

And sometimes, that also means guiding customers toward an option they hadn't considered.

The cocktail reception

The energy of the event is essential

A cocktail reception is probably the most dynamic format.

Guests mingle, chat, and get to know one another, and as the evening unfolds, they enjoy a series of gourmet dishes served on platters or prepared fresh at live cooking stations.

This is a format I often recommend for:

  • product launches
  • openings
  • corporate events
  • reception
  • welcome dinners
  • events where networking is important

A cocktail party creates a natural flow. Conversations start and end, guests don’t stay glued to their seats, and the event maintains a real sense of fluidity.

At hight-end events, we like to incorporate culinary demonstrations featuring dishes prepared fresh to order. Carving, cooking in front of the guests, spectacular plating… It’s often these moments that leave a lasting impression.

The sit-down meal

The event should be memorable

A sit-down meal remains the most elegant option.

This is the restaurant that offers a true gastronomic experience, with a menu designed as a culinary journey and meticulously presented dishes.

I remember a client who was organizing a gala dinner for a corporate holiday celebration. He initially wanted a seated buffet to create a friendly atmosphere. After discussing the context and the number of guests, I advised him to switch to plated service.

A few days after the event, he called me back to say he was glad he had trusted my judgment. The guests were impressed by the refinement of the service and the precision of the plating.

In this kind of setting, a sit-down meal offers something unique:
a moment in time, where everyone shares the same culinary experience at the same time.

This is the perfect format for:

A meal to share

Friendliness in its most natural form

an intimate and friendly wedding where guests enjoy a catered meal to share

Contrary to what one might think, a shared meal isn’t about the scale of the event, but about the intention behind it.

It’s a wonderful format… provided it aligns with the experience you want to create.

The dishes are placed in the center of the table; everyone helps themselves, and conversation flows naturally. There is something deeply warm and lively about this way of entertaining.

I recommend it whenever you want to create a warm, family-friendly atmosphere, for example for:

  • weddings, regardless of their size
  • company Christmas dinners
  • private events (wedding anniversaries, baptisms, etc.)
  • some more casual corporate events

Conversely, this format is less suitable for very formal settings, such as executive meetings or gala dinners, where the expected experience is different.

Here, it’s not the number of guests that matters, but the atmosphere you want to create. A large wedding can be extremely warm and welcoming, just as a small gathering can remain very formal.

Sharing a meal thus becomes a choice made from the heart: a choice to prioritize connection, sharing, and a spirit of generosity, without ever compromising on culinary excellence.

The right format is the one that suits your event

Ultimately, choosing a reception format isn't just a matter of logistics.

It's a matter of experience.

Would you like your guests to move around and mingle freely?
Would you prefer everyone to enjoy the meal together at the same pace?
Or would you like to create a warm, friendly atmosphere around a table?

Every event has its own unique character. And that is precisely the role of an experienced caterer: to help you find the format that best captures the spirit of the occasion.

Because, in the end, it’s often those choices that make all the difference.
